Thames Valley LDWA

Hi possible walk leaders.

The NEC have made a change to the walks register form used for social walks.

The new version is available at
https://ldwa.org.uk/website/downloads/toolkit/Social_Event_Registration_Form_-_March_2025.docx

Or there is a 1 page version at
https://ldwa.org.uk/website/downloads/toolkit/Social_Event_Registration_Form_-_May_2025_1_page.docx

There is also some changes to the procedures in using this new walks
register form, these are:-

1. You must make sure that members attending the walk also complete the "Location of ICE details or emergency contact number" column.
This can be just a short description of the location of the "In Case of Emergency (ICE)" details e.g. phone, backpack, wallet/purse, Tag, etc.
The Thames Valley Group are looking into buying rucksack tags to expedite the process in which case they say "TAG" to help speed the entry if you don't have ICE setup on a phone.

2. You must make sure that you take the completed form with you on the walk, so you can provide the ICE details to the emergency services if required.

3. You must not include the ICE details when sending a copy of the form to the walks coordinator (Andrew Beck - tv.walks@ldwa.org.uk ).
The best way of doing this if sending a photo or scan is to just fold over the page to hide that column.

4. Once you have sent it to the walks coordinator and it has been acknowledged then you should securely destroy any paper copies and delete the sent email. (There is a checklist on page 2 of the 2 page form and on the 1 page version to remind you of these actions)

On a final note, if you don't want to be included on the email list for possible walk leaders any more then let me know at tv.walks@ldwa.org.uk

Yours
Walks Coordinator
