Claiming Expenses
Expenses may be claimed for expenditure incurred whilst undertaking activities for Norfolk and Suffolk LDWA.
However, please note any reimbursement may not meet the full expense incurred and is a contribution only. If you have any doubt on what can be claimed please contact the Treasurer, prior to incurring the expense.
Walk leaders
Details of expenses that may be claimed by a walk leader are found here Norfolk & Suffolk LDWA - Social Walk Guidelines & Forms
Challenge Event Organisers
Similar rules apply for challenge event organisers recceing routes. However, it is acknowledged that recceing a challenge event is very different so claims should be agreed with the N&S committee in advance.
Marshals
Marshals officiating on official Norfolk and Suffolk Challenge Events may claim for fuel expenses. This claim is per car and not per person. A partner/friend travelling with an event entrant may not claim.
Mileage Rate
Mileage can be claimed at 30p per mile, however this may be capped for example walk leaders are able to only claim for one recce, up to a max. of 50 miles.
Guidelines for submitting a form
Claims should be submitted to the Treasurer no later than three weeks after the relative event or expense. Please note that any claim received after the end of the financial year (31st December) in which the expense occurred may be disregarded.
Claims are settled as quickly as possible and payment is made electronically, so please provide your bank details on the claim form and advise if they have changed since your last claim.
Receipts (or scans if using email) should always accompany claims except where none are available, e.g. car travel.
Please submit your claim together with receipts (if applicable), either by post, email or in person to:
