Hi everyone,
I hope you're looking forward to volunteering at the Pewsey Downsaround on Sunday 26th April.
The following are the instructions for the manual recording process that will be used at Checkpoints 1, 2 and 4. Volunteers at Checkpoint 3 can use it too, although they will be issued with scanners. Those of us at the Start/Finish will also be using the scanners, with the manual recording as backup. When conducting the recces for the routes, it was apparent that the mobile signals at the outdoor checkpoints were so poor, it wasn't worth the hassle of trying to scan there. A separate instruction for using the scanners will be sent to volunteers at HQ and Checkpoint 3.
The manual recording process is two-fold. To ensure entrants are not held up in anyway, volunteers are to complete the following sheet. Simple note down the entrants 3-figure number (101 to 344) together with their arrival time.
If a group of walkers arrive together, please record all their entrant numbers, but only note the arrival time for the first person.

Then, when there's a gap in proceedings, please transpose the entrants's arrival times onto the following sheet:

Entrants who have been greyed out will not be passing your checkpoint, unless they change routes or get lost.
All the paperwork will be in a 'WeatherWriter', to protect it from the weather. Pens and pencils will be provided. The folders and paperwork must be returned to HQ after checkpoints close.
Please direct any questions to me,
Kind regards
Clive
