1)  JimB outlined timeline for the 100.  Noted there needs to be project plan – this will be an adaptation of the one on the 100 Toolkit.

It was confirmed route is already planned, and potential checkpoint locations identified.

A number of the previous 100 committee have stepped down, noted they have done a great job in getting us this far.  

The recces are to complete end of July - not much amendment of the route so far.

JerB explained Nat. Trust and Nat. Park will need to know the exact route.

Route Lead: Andy Evans.

Check Points: JimB confirmed priority next steps are confirming CPs (4 of possibly 17 already confirmed).  Potentially most will be village halls/schools.  Mary Bosworth to be CP Lead, assisted by Lavinia Yates and Andy. They will need to work closely with Andy Evans as there will be an interaction with the route and availability of suitable premises.

Catering: Peter Ibison to be Lead, assisted by Bev Birkett and Helen Gray.  First step to look at Toolkit and past events to start to work up a plan.

Transport: Phil Slencer to be Lead.  Ditto Catering plan.

Treasurer: Sue Carter. Agreed JimB and AE to be signatories. When we have a bank account we can apply to NEC for a loan.

The October prior to the event is when entries will open so need to know costs before then as that determines entry fee.

JerB advised there is accommodation and camping at Thornbridge that we could sell.

DW confirmed 100 is capped at 500 entries and they must be a LDWA member.  

Local Group Liaison: Darren Walsh and he will contact Local Groups before the next meeting to establish who wants to help on CPs for the marshals and main event.  So far Staffordshire, South Manchester, Calderdale, West Lancashire and Sherwood have expressed an interest. 

Lead Organiser: Jim Bosworth   JimB explained we still need: 

• Secretary
• Entries Secretary* 
• HQ Manager
• Timing Officer
• Media/ Communications
• Liaison with major stakeholders/landowners

It was noted any of these roles, the above and others to emerge can be disaggregated to fit need and the time and skills people can offer

Timing/Tracking System: Agreed to use whoever Anne Wade suggests for tracking.

Document Storage: JerB suggested DropBox, what the NEC has proposed doesn’t work well.  Noted there is a revised offer from NEC which includes SharePoint – this to be clarified.

Booklets: Alec has the booklet from the 100 in the 1990s.  JerB agreed to send AH the Honeypot Hundred booklet.  Alec asked who is responsible for this and JerB confirmed the CP Co-Ordinators.

100 Check Point Offer: MB has offered Jurassic 100 that HP will run a CP – 5 volunteers so  far.  Clarify what help they need and where/ times.  Need to consider accommodation near to CP, and transport volunteers from here to Dorset.

EVENT NAME – Subject to NEC support it was agreed to revert to previous name of Millstone 100.  (Anne has subsequently supported this change) New logo required.

2)  Dogs on Social Walks: JerB confirmed it’s the Walk Leader’s discretion re dogs on walks.  The dog owner must contact the leader in advance of the walk to confirm beforehand.  The leader must have third party insurance.  JerB can publish further details on the walk e.g. if dogs are/aren’t welcome.

JerB explained still need more walk leaders.

3)  Social Events: JimB enquired if we’d like a social calendar.  LY suggested linear walks to recce the 100 next year.

4)  GVC: LY - Everything is progressing as it should.

*since the meeting Cat Hobden has volunteered to be Entries Secretary
