AGM 2021 - how to participate


In the light of government restrictions due to covid-19 it is likely that anything we may be able to organise in the way of an AGM may not be strictly in accordance with our constitution, but we believe that the procedure outlined here comes as close as possible to satisfying constitutional requirements.

We are asking members to download, complete and return the form available here (in PDF form) or here (in DOCX form) in advance of the meeting. All members doing so will be considered to have “attended” the meeting, whether or not they actually participate on the day. As this is uncharted territory for us, and we have no idea how many of our members will wish, or be able, to view a zoom meeting, this will maximise potential “attendance” (and hopefully allow us avoid the possibility of finding the meeting to be non-quorate on the day). The form gives you the opportunity to vote on matters requiring a vote; no votes will be taken during the meeting itself. The form also gives you the opportunity to enter questions and comments you would like answered during the meeting and to raise matters you would like discussed.

Please complete and return the form to the Secretary, Maureen Downes, at tv@ldwa.org.uk as soon as possible. If you wish to participate in the zoom meeting on the day, please enter your email address on the form; you will then receive details of how to access the meeting, to be held on Sunday 10th January 2021 at 5pm, when the results of votes will be declared and any questions answered. We hope, also, to give an opportunity for discussion of matters of concern to members.

Treasurer

Following our appeal for members to offer themselves for this post three put their names forward, of whom two subsequently withdrew their consent. The remaining candidate, who has been duly proposed and seconded, has provided the following information about herself.

Sarah Easingwood-Wilson

Hi, my same is Sarah, I live in Henley, enjoy walking, running and work in Finance in the food industry. I have done lots of day and multi day walking in both the UK and abroad. Walking for me is a great way to enjoy the outdoors, explore new areas of the countryside, meet others and keep fit.

I have recently re-joined the Thames Valley group was able to join a few walks in the summer once they recommenced after lockdown 1. I loved the walks and was made extremely welcome (thank you!).

I first came across the LDWA about 10 years ago and was initially a member of the London group joining the Thames Valley group when I moved to Henley. I was originally not a member of the Thames Valley group for very long, but I am extremely pleased I decided to re-join this year.

Whilst a member of the LDWA London group I was the entry coordinator for the Founders Challenge event for 2 years, ensuring all entries were processed efficiently, responding to entry and event queries, producing the entry lists as well as helping on the days.

When the request came out looking for a volunteer for the Treasurer role, knowing what a great group the Thames Valley LDWA is and with my financial background I didn’t hesitate to respond to understand what was involved. If I could play a part in supporting the group I would be delighted to do so.
